Applications and program feedback
We use Google Forms to collect applications to the European Coaching Program and feedback from ensembles coached by program candidates. The application form collects the information requested in the form, including contact details, written answers about coaching experience, approach and motivation, and coaching videos. The feedback form collects the information and assessment submitted by the responding ensemble.
We process application data to assess and select candidates and to administer the program. We process ensemble feedback to support candidates’ development and certification and to evaluate the program. The legal basis is Article 6(1)(b) GDPR where processing is necessary to take steps at an applicant’s request or to administer participation in the program, and Article 6(1)(f) GDPR for our legitimate interests in selecting candidates, assessing their development and improving the program.
Form responses, submitted materials and coaching videos are stored in a Google Drive folder. Access to this folder is restricted to the ECP organizers and selection team. Google processes the data to provide Google Forms and Google Drive and may process data outside the European Economic Area. More information is available in Google’s Privacy Policy.
We retain application and feedback data only for as long as we need it for selection, program administration, candidate development and certification, program evaluation, or applicable legal obligations. We delete it when it is no longer needed for these purposes.
We produce aggregate statistics about applications and ensemble feedback and report them to the organizations that endorse the ECP. These reports do not contain names, individual responses or statistics from which an individual can reasonably be identified. Endorsing organizations do not receive the underlying application or feedback data.
Mailing lists
We use the Google Groups service to operate mailing lists for the ECP organizers, selection team, and program participants. We process group members’ email addresses, names, group membership information, and the content and technical metadata of messages sent through the groups.
We use these mailing lists to coordinate the organization and selection process and to communicate with participants about the program. The legal basis is Article 6(1)(b) GDPR where the communication is necessary to administer a person’s participation in the program, and Article 6(1)(f) GDPR for our legitimate interests in organizing the program and conducting the selection process.
Google processes this information to provide Google Groups and may process it outside the European Economic Area. The ECP organizers are owners and managers of the Google Groups and can access group membership information. Messages sent to a group are delivered to its members and therefore disclose the sender’s name and email address, the message content, and associated metadata to those recipients. More information about Google’s processing and international data transfers is available in Google’s Privacy Policy and information about data transfer frameworks.
We retain a person’s group membership for as long as they need to receive or participate in the relevant ECP communications. We remove members when their role or participation ends and the group is no longer needed for follow-up communication. The Google Groups are configured to maintain a conversation history, accessible only to the respective group’s members. We will delete the group and its message history after ECP 2027 completes. Copies of messages already delivered to members remain in their individual mailboxes and cannot be deleted by the ECP organizers. Google determines the retention of data it processes independently to operate and secure its service.
Your rights
Where personal data concerning you is processed, the GDPR may give you rights to access, correct or erase it; restrict or object to its processing; and receive data you provided in a portable format. You may also lodge a complaint with a data protection supervisory authority. Which rights apply depends on the circumstances and legal basis of the processing.
